Billing and payments
Simple billing. Clear payments. No surprises.
Manage tuition, automate payments, and keep every transaction organized in one place. Give families clear, easy-to-understand statements while keeping full control of your payments, with no extra platform fees.
Tuition set up the way you already charge
Monthly on the 1st, a competition team season split into installments, or a per-class rate for adult drop-ins. Each class picks its own model, and families who join mid-term are prorated.
- Per-term tuition in up to 24 installments, with the first due at signup or at the start of term
- Fees for registration, recitals, costumes, uniforms, testing and equipment
- Charge fees per family, per student or per enrollment, once a term or at signup
- Sibling, multi-class and early-bird discounts as a percentage or a flat amount
A ledger you can read out loud to a parent
When a family asks why they were charged $212, the answer is right there in plain sentences, line by line.
- Entries can't be edited or deleted, only reversed, so the history never changes underneath you
- Discounts post as their own credit lines instead of quietly shrinking a charge
- Refunds, credits and write-offs each carry a reason
- Preview any change before you commit it, and see upcoming charges before they run
Declined cards, followed up for you
Autopay retries a failed payment one, three and seven days later. Whatever is still unpaid lands in a list with the next sensible step beside it.
- A collection view showing how much of what you billed came in, and what retries recovered
- A list of cards about to expire, before they decline
- Campaigns that ask the right families to update their card
- A banner in the parent portal so families can fix a failed payment themselves
Everything else that costs money
Class packs
Sell a 5-class or 10-class card for open gym or adult classes. Packs can expire and be shared within a family.
Studio store
Warm-ups, team bows and leotards with sizes and colors, sold in the portal or at the desk, with sales tax.
Surcharging
Pass on credit card costs where the law allows. Never on debit, prepaid or bank payments, and always capped.

Switching systems without the dread
Most owners put off switching because moving the data looks risky. We built the move to be checked at every step.
- 1
Import
Upload an export from Jackrabbit, iClassPro, The Studio Director, DanceWorks, Dance Studio Manager, Studio Pro, Sawyer, or any CSV.
- 2
Check it
Map the columns, read the validation report and do a dry run. If it's wrong, roll the whole thing back.
- 3
Collect the cards
A card request texts and emails every family without a card a link to add one in the portal, and reminds them until they do.
- 4
Approve the first run
A cutover checklist reconciles balances, confirms old autopay is off, and holds your first billing run until you say go.
Common questions
Who holds the money?
You do. Payments go through your own Stripe account, with you as the merchant of record, and we take no cut. Stripe's own processing fees still apply.
Can families pay by bank transfer?
Yes. US bank accounts (ACH) work alongside cards, and both can be saved for autopay.
How do we bill a competition team season?
Set the team's tuition per term and split it into installments, then add fees for uniforms, choreography or events per athlete. Everything posts to the family's ledger with a clear description.
Which systems can you import from?
Jackrabbit, iClassPro, The Studio Director, DanceWorks, Dance Studio Manager, Studio Pro and Sawyer each have their own import profile. Anything else comes in through a CSV.
