Scheduling

Scheduling that works as hard as you do.

Build your schedule, manage rooms and instructors, and make changes in seconds. FrontRow catches conflicts before they happen and keeps everyone in the loop automatically.

Catch a double-booked room before it reaches the calendar

Every time you add or move a session, FrontRow checks the room and the teacher against everything already scheduled. If Tumbling Basics has the gym floor at 5:30, you find out before you save.

  • Each clash names the class it collides with, so you know what to move
  • Override it when you mean to, like two small groups sharing one big floor
  • Move or cancel a single session and leave the rest of the term alone
  • Give each class an age range and a required level, and enrollment holds to both

Find an open room in a few seconds

Pick a day and see every gap in every room, worked out around your classes and closures. Set a minimum length and the short gaps drop out.

  • Make-up sessions

Add an extra session for a class that lost a week to weather.

  • Extra rehearsals

Fit in a run-through before recital or competition season without bumping anyone.

  • A second section

See where a full level with a waitlist could get another time slot.

Set up the season once

  • Terms and seasons

Enter the dates once. Classes, tuition and reports follow them, and next season starts as a copy of this one.

  • Four kinds of program

Weekly classes, camps, summer sessions and drop-in series like open gym, each with its own sign-up and billing rules.

  • Rooms

Every studio, floor and gym you teach in, used by the clash check and the open-room finder.

  • Staff availability

Record when each teacher or coach can work, then see it beside the schedule when you're filling a gap.

A coach calls in sick. Cover takes two taps.

Teachers request a sub from their own class on their phone. The request lands on the office's list with the time and room, someone picks a sub, and that one session is reassigned.

  • Rosters, attendance and the parent portal all follow the change
  • The regular teacher keeps every other session in the term
  • Requests you can't fill are closed out instead of left hanging

Close for a weekend without rebuilding the term

Add a closure for the whole building or a single room. Sessions inside it are cancelled, and you decide whether families get credited for the classes they miss.

  • Holidays, snow days, competition weekends, or a floor being refinished
  • Credits follow each family's tuition plan, monthly or per class
  • Cancelled sessions stay on the record with their original dates
  • Drop-in visits go back on the family's class pack or account automatically

Attendance from a phone at the side of the floor

Teachers tap through the roster as kids arrive. When the Wi-Fi in the back room drops out, their marks stay on screen and save with one tap on Retry.

  • Trials, make-ups and drop-ins are labelled on the roster, so new faces get noticed
  • Families report absences ahead of time from the parent portal
  • A reported absence earns a make-up credit, bookable into a same-level class with room
  • The attendance report shows who has missed several classes in a row

Common questions

Can camps, open gym and weekly classes share one calendar?

Yes. There are four program types: weekly term classes, camps, summer sessions and drop-in series. Each has its own sign-up and billing rules, and all of them sit on the same calendar. Camps can be priced by the week, by the day or for the whole program.

What happens to tuition when we close for a holiday?

When you add a closure, you choose whether it credits families. If it does, each family is credited according to their tuition plan. You can also close without crediting anyone.

Do teachers and coaches see the whole schedule?

No. Teachers see their own classes for today and the next seven days, with rosters and attendance. Front desk sees the full calendar, and owners and admins see everything.

Can a class require a certain level?

Yes. Each class can have an age range, measured on a date you choose, and a required level. Enrollment checks both, and make-up credits can only be used in a class at the same level.

What if the internet drops in the middle of class?

The marks stay on the roster screen. Once the connection is back, tap Retry and they save. Attendance was built for a phone in the gym or studio, away from the front desk.
