Run competitions

Build competition teams and routines, enter them in events, share travel details, and charge each family its share of the fees.

Competitions keeps your competition season in one place. You build teams and their routines, enter routines in each event, and FrontRow works out what each family owes, splitting group fees across the cast. Families see their routines, times and travel details in the portal and tell you who is going.

Don't see it in the menu? An owner or admin can turn on Competitions in Settings, under General › Sections.

Open competitions#

Open Events in the menu (on a computer, look under More in the top bar), then choose Competitions. The page has two lists:

  • Events: the competitions you're going to, with their dates, where they are, how many entries you have, and their status.
  • Teams: your competition teams, with how many students and routines each has.

Create a team#

  1. Select New team.
  2. Enter a Team name, like "Junior competition team", and select Create team.
  3. On the team's page, select Edit roster. Search for students, tick everyone on the team, and select Save roster.

Unticking a student also takes them out of the team's routines.

Add routines#

  1. On the team's page, select New routine.
  2. Enter the Routine name, and the Style, Division and Music if you like.
  3. Tick the students in the cast. The cast comes from the team's roster, and FrontRow labels the routine a solo, a duet or a group from its size.
  4. Select Add routine.

To change a routine, open the menu at the end of its row and choose Edit routine. Choose Archive routine to take it off the list. Entries it already has in events stay.

Add an event#

  1. On the Competitions page, select New event.
  2. Enter the Event name, the Organizer, Venue and City.
  3. Set the Entry deadline, the First day and the Last day.
  4. Add any Notes for your staff.
  5. Select Create event.

On the event's page, use the status menu at the top to mark it Planning, Registered, Completed or Cancelled. Select Edit details to change anything else.

Enter a routine#

  1. On the event's page, select Enter a routine.
  2. Choose the Routine.
  3. Fill in the Category, Division and Level as the competition lists them.
  4. Enter the Entry fee, then choose whether The fee is:
    • For the routine, split across the cast: the fee is shared evenly by everyone in the routine.
    • Per performer: each dancer in the cast pays the full fee.
  5. Once the competition sends its schedule, add the Performance day and Performance time.
  6. Select Enter routine.

To change an entry, open the menu at the end of its row and choose Edit entry. Choose Withdraw entry to take it out of the event. Anything already charged for it stays on each family's account.

Add fees for everyone#

Some costs apply to every dancer at the event, like a travel or coaching fee.

  1. In the Fees per student card, select Add a fee.
  2. Enter the Fee name and the Amount per student.
  3. Select Add fee.

Each student performing at the event is charged it once, on top of their entry fees, unless they're marked not attending.

Charge families#

The What each family owes card shows each family's share: what each student owes for each entry and fee, what has already been charged, and what is Still due.

  1. Check the shares. If a routine has no cast yet, a note tells you how much has nobody to go to.
  2. Select the Charge button, which shows the total still due.
  3. Select Charge now to confirm.

Each family is charged only what is still due, so you can charge again after adding entries and only the new amounts go out. If you remove or reduce an entry after charging, the extra isn't refunded automatically. Add a credit to the family's account if one is due.

Share travel details#

  1. In the Travel details card, select Edit travel details.
  2. Fill in what applies: Hotel block, Booking code, Booking link, Meeting point, Call time, What to bring and an Itinerary.
  3. Select Save travel details.

Families with a student in the event see these in the portal.

Track who is going#

The Who is going card lists everyone cast in an entered routine, with how many are attending and how many haven't answered. To answer for a family, choose Attending, Not attending or No answer yet next to the student. You can add a note too, like a chaperone's name.

What families see#

Families with a student in an upcoming competition see Upcoming competitions on their Family page in the portal, and a reminder on their home page if they haven't said who is going. The Competitions page shows each event with:

  • Their student's routines and performance times, once you've set them.
  • The travel details.
  • What they've been charged for the event so far.

They select [Name] is going or [Name] can't go, and can leave a note for the studio. They can answer until the entry deadline (or the day before the event if there's no deadline). A student marked not attending isn't charged the per-student fees.
